Why your IWMS system pricing model matters.

Why Facilities Software Charges Per User - and Why Ours Never Will
The hidden cost of per-user pricing in IWMS software
Per-user pricing is common in software because it gives vendors a simple way to increase revenue as their customers grow. Add another employee who needs access, and the monthly or annual bill increases.
While that model may be easy to calculate, it does not always make sense for facilities and workplace management software.
An IWMS is most valuable when information can move freely between the people responsible for space, assets, maintenance, service requests, reporting, and long-term planning. When every additional user carries an additional cost, organizations may begin limiting access simply to control the bill.
That can create hidden costs beyond the software subscription.
Per-user pricing can discourage adoption
When access is treated as an added expense, companies may reserve the software for a small group of primary users. Other employees continue relying on emails, spreadsheets, phone calls, or information passed through someone with a license.
The organization may technically have an IWMS, but it is not receiving the full benefit of having everyone work from the same information.
Growth should not become a penalty
Teams change. Responsibilities shift. New employees join, new locations open, and more departments may need access to facilities information.
With per-user pricing, every change can require another cost calculation or purchasing decision. The software bill grows because more people are using the system - not necessarily because the organization is receiving more functionality.
Collectiveview does not price its software per user. Our customers can focus on giving the appropriate people access without evaluating the cost of every individual login.
Better access creates better information
Facilities decisions depend on accurate, current data. That becomes easier when the people closest to the work can participate directly.
Reduce disconnected spreadsheets and email chains
Improve the accuracy of facility and asset information
Make service requests and follow-up more efficient
Support collaboration between facilities, leadership, and other departments
Encourage stronger adoption across the organization
Predictable pricing makes planning easier
Software should help organizations plan - not make budgeting more complicated every time a team changes.
A pricing model that is not based on individual users gives organizations greater predictability. They can expand access according to their operational needs without worrying that each additional user will automatically increase the cost.
At Collectiveview, we believe facilities software works best when access supports collaboration instead of restricting it. Your organization should be able to use its IWMS as intended - without counting seats along the way.
